This Privacy Policy explains how FieldFlow Automations LLC (“FieldFlow,” “we,” or “us”) collects, uses, and shares information in connection with our website, account portal, and CRM/automation platform (collectively, the “Services”). FieldFlow's Services are sold on a business-to-business basis to independent contractor companies (“Customers”). This Policy covers our own handling of information; it does not govern how Customers use the Services to manage their own end-customer or lead data, which remains each Customer's responsibility as the data controller for that information.
1. Information We Collect
Account information: name, business name, email, phone number, and billing information provided when a Customer signs up.
Platform data: contact records, messages, and pipeline data that Customers input into or route through the Services (for example, lead and job records, missed-call text-back activity, and pipeline stage data).
Usage data: log data, device/browser information, and analytics collected automatically when the Site or Services are accessed.
2. How We Use Information
We use collected information to: provide, maintain, and improve the Services; process payments; communicate with Customers about their accounts; provide customer support; and comply with legal obligations. We do not sell personal information to third parties.
3. How We Share Information
We share information with service providers that support the Services, including payment processing (Stripe), accounting integration (QuickBooks), scheduling (Google Calendar), advertising integrations (Meta Lead Ads), business listing tools (Google Business Profile), and workflow automation (Zapier), as well as our underlying CRM infrastructure provider. These providers are authorized to use information only as necessary to provide their services to us. We may also disclose information if required by law or to protect our rights.
4. Data Retention
We retain account and platform data for as long as an account is active and for a reasonable period after cancellation to allow for data export, comply with legal obligations, and resolve disputes. Customers may request deletion of their data on cancellation, subject to any legal retention requirements.
5. Data Security
We use reasonable administrative, technical, and physical safeguards designed to protect information from unauthorized access, use, or disclosure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
6. Your Choices and Rights
Depending on your location, you may have rights to access, correct, or delete personal information we hold about you, or to opt out of certain processing. To make a request, contact us using the information below. We will respond consistent with applicable law, including Washington's My Health My Data Act and other applicable state privacy laws.
7. Children's Privacy
The Services are intended for business use and are not directed to individuals under 18. We do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time. Material changes will be reflected by an updated “Last updated” date, and continued use of the Services after changes take effect constitutes acceptance of the revised Policy.
